Batch Tracking

An inventory control method that assigns a batch or lot number to a group of products sharing the same production run or expiry date, enabling traceability and targeted recalls.

Batch tracking is an inventory control method that assigns a batch or lot number to a group of products sharing the same production run or expiry date, enabling traceability and targeted recalls. This system allows businesses to monitor and trace specific groups of inventory throughout the supply chain, from manufacturing through to final delivery. Batch tracking is essential for quality control, compliance, and managing product lifecycles across warehouses and sales channels.

Why it matters for e-commerce brands

For e-commerce brands, batch tracking provides critical visibility into inventory quality and safety, especially for products with expiration dates like food, cosmetics, and pharmaceuticals. When quality issues arise, brands can quickly identify and remove affected batches from their warehouses and prevent shipment to customers, minimizing liability and protecting brand reputation. This level of traceability also helps brands comply with industry regulations, optimize stock rotation using FIFO (First In, First Out) principles, and provide detailed product information that builds customer trust.

Example

A Shopify supplement brand manufactures 5,000 units of protein powder in March 2024 and assigns them batch number "PP-032024-A" with an expiration date of March 2026. Using their inventory management system integrated with Shopify, they track this batch as it moves from the manufacturer to their 3PL warehouse. When a customer places an order, the system automatically records which batch number was shipped. Two months later, the brand discovers a packaging defect specific to batch PP-032024-A. They can immediately identify which customers received products from this batch, issue targeted refunds or replacements, and pull remaining inventory from the warehouse—all without affecting other batches or disrupting their entire product line.
